What You Will Do:

The University of Maryland Medical Center is looking for an HR Coordinator

I. General Summary

Provides a high level of customer service, administrative support, and project coordination throughout the talent acquisition process. This position assists multiple HR Shared Services Talent Acquisition Specialists in all recruitment activities at the local UMMS facility. Performs other duties associated with services required by the local Human Resources Department.


II. Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. These are not to be construed as an exhaustive list of all job duties performed by personnel so classified.


1. Provides administrative support to multiple HR Shared Services Talent Acquisition Specialists to facilitate full life-cycle talent acquisition process. Responsibilities and tasks include but are not limited to:
a. Coordinates the scheduling of interviews for the local Human Resources Department and other local staff that are part of the interview process as needed.

b. Performs daily checks within shared technology (i.e. Calendar/SharePoint, etc?) to receive directives on candidate schedules or ad-hoc task requirements from HR Shared Services TA Specialist.

c. Coordinates travel arrangements and hotel accommodations for non-local candidates; and Completes accounts payable form and monitors payments for all candidate reimbursements
d. Resolves conflicts with scheduling challenges and maintains open communications with candidates, managers, and recruiters of all changes to schedules
e. Drafts candidate itinerary interview schedule
f. Meets and greets candidate; escorts applicant to interview site as needed
g. Procures candidate signature on employment offer letters
2. Provides administrative support for the local Human Resources Department and manages the assigned candidate onboarding tour process after the Talent Acquisition Specialist confirms an acceptance of an offer of employment. Responsibilities and tasks include but are not limited to:
a. Manages the electronic new hire “On-Boarding” system for assigned new hires and assures that new hires have completed the process. Generates onboarding report to track tour progress and completion.

b. Schedules Employee Health Services post-offer physicals, schedules new hire orientation, and verifies and completes section 2 of the I-9 process.

c. Coordinates and liaisons missing employee onboarding information with HRS Operations and/or the candidate.

d. Monitors employee background check results in vendor site and escalates as appropriate
e. Monitors employee health screening results in onboarding system and escalates as appropriate
f. Generates attendance orientation list report for orientation attendance tracking
g. Tracks completion of new hire employee online orientation (Healthstream) Note: New hire orientation program may differ by facility.

h. Verifies new hire certifications (CPR card) and enters certification information in HR system
i. Procures employee offer letter signature
j. Forwards no show attendance sheet to Recruitment and HRS Operations for HRIS no show processing
k. Completes accounts payable form and coordinates reimbursement with Finance on employee relocation reimbursements

3. Performs other assigned duties and responsibilities as assigned by the local Human Resources Department management.

What You Need to Be Successful:

Education and Experience

1. Bachelor's degree

2. Two years of experience in a Human Resources office is preferred.


3. Administrative experience is preferred.
